Policies, Terms & Conditions
By accessing our website, submitting an entry, purchasing awards, or participating in any UK Hair & Beauty Awards (HBA) activity, you agree to be bound by the following policies and terms.
1. Use of Certificates, Badges & Branding
All HBA certificates, badges, titles, logos, and branded materials must be used exactly as issued.
- No amendments, alterations, modifications, or adaptations of certificates, badges, wording, or logos are permitted.
- Any modification that may misrepresent an award, placement, category, or level of recognition is strictly prohibited.
- HBA reserves the right to require the immediate removal of any content that misrepresents its awards or brand.
Unauthorised use or modification may result in revocation of titles, removal of affiliation, and further action to protect the HBA brand.
2. Entries & Declarations
All entries are submitted on a self-nomination basis.
- It is the responsibility of the entrant to ensure all information provided is true, accurate, complete, and up to date at the time of submission.
- All entrants must sign a declaration confirming the accuracy of their submission and that they are suitably qualified and insured (where applicable) to perform the services entered.
- HBA accepts no liability for inaccuracies, omissions, or misrepresentations made by entrants.
Any false, misleading, or incomplete information may result in disqualification, revocation of awards, or removal of affiliation.
3. Code of Conduct
All participants, finalists, and award recipients are expected to uphold a professional public image.
- Participants must not engage in conduct that could reasonably be considered damaging to the integrity, reputation, or values of HBA.
- This includes behaviour across public platforms, media, and social media.
HBA reserves the right to review conduct at any stage and to take appropriate action, including withdrawal of awards or affiliation.
4. Judging Process
- Judges reserve the right to remain anonymous.
- Due to volume and operational constraints, individual feedback cannot be provided.
- All judging decisions are final.
HBA makes no guarantee of placement, shortlisting, or award.
5. Revocation of Awards & Affiliation
HBA reserves the absolute right, at its sole discretion, to revoke any award, placement, certificate, title, or affiliation at any time where seen necessary, this includes but it not limited to:
- Policies or terms have been breached
- Information provided is found to be false or misleading
- Conduct brings HBA into disrepute
- Brand misrepresentation occurs
This applies both during and after an awards cycle.
6. Rules of Participation
To ensure fairness, professionalism, and a positive experience for all, the following rules apply.
6.1 Bullying & Harassment
Bullying, harassment, intimidation, or derogatory behaviour towards participants, staff, judges, or the HBA team will not be tolerated.
6.2 Transparency
Participants are required to provide truthful, accurate, and complete information in all submissions and communications with HBA.
6.3 Public Image
Finalists and award recipients act as representatives of the HBA brand during and after the relevant awards cycle. They are expected to act with professionalism, respect, and integrity throughout the awards process. Any misconduct, harassment, or inappropriate behaviour may result in disqualification or removal from participation.
6.4 Conflicts of Interest
Participants must disclose any actual or potential conflicts of interest that could reasonably be perceived to influence the judging process.
Compliance with the Rules of Participation is a condition of entry. HBA reserves the right to sanction, revoke any placements, and/or disqualify any participant(s) who fail to adhere to the Rules of Participation at any stage of the process.
7. Entry Content Requirements
Each category has its own entry requirements and evidence checklist. Entrants are responsible for ensuring all documentation meets these standards.
- Entrants must complete their entry form and submit all required evidence as outlined per category.
- Evidence may include photos, videos, client feedback, qualifications, proof of insurance, or performance data.
- Entrants must meet the minimum professional standard required to progress to judging.
All submissions must:
- Be the entrant’s original work
- Contain only content for which the entrant has full rights, permissions, and consents
- Comply with all applicable laws and platform terms (including Instagram Terms of Use)
Submissions must not:
- Infringe third-party intellectual property rights
- Contain defamatory, threatening, obscene, sexually explicit, violent, or discriminatory content
- Include material that HBA deems inappropriate or inconsistent with its values
HBA reserves the right to verify any information or materials submitted and the sole discretion to disqualify any submission.
8. Ownership & Rights
By submitting an entry, you agree that:
- You retain ownership of your content.
- You grant HBA and its partners a perpetual, irrevocable, worldwide, royalty-free licence to use, reproduce, publish, adapt, and share submitted content for promotional and marketing purposes without further compensation or approval.
- You waive any right to bring claims against HBA or its partners for the permitted use of submitted content.
9. Scope of Assessment & Post-Award Activity
Awards and placements reflect the information provided and assessed at the time of submission only.
HBA does not monitor, regulate, or endorse:
- Post-award business changes
- New services, training, academies, or qualifications
- Future conduct outside the awards cycle
Any post-award activity falls outside HBA’s review scope and does not constitute ongoing endorsement.
10. Limitation of Liability
HBA shall not be liable for:
- Loss of income, reputation, or business arising from participation
- Decisions made by judges
- Misuse of awards or branding by third parties
- Disqualification or revocation exercised in line with these policies
11. Governing Law
These policies are governed by and construed in accordance with the laws of England and Wales.
Refund Policy
Entry Refunds
Refunds may only be requested in cases where multiple entries were purchased by mistake. Each request is considered individually, and the final decision is made by the HBA team. To submit a request, please contact: customerservice@hairandbeautyawards.co.uk
Please note that entrants are not entitled to a refund if they do not place at the annual awards.
Damages and Issues
If there are errors on your certificate, such as incorrect name, placement, or other details please contact: customerservice@hairandbeautyawards.co.uk
We are proud to say that none of our certificates are automated and are instead designed and personalised by our graphics design team. If you encounter any errors with your certificate, our team will be happy to review and amend any changes needed.
Exchanges
To obtain a different item, the fastest process is to cancel or return the original order. Once accepted, a separate purchase can be made for the replacement item. Personalised items can not be exchanged.
Event Ticket Refunds
Tickets for The UK Hair And Beauty Awards events are non-refundable and relate solely to attendance at the live event. Ticket purchase does not guarantee award outcomes, and all sales are final.
The cost of a ticket includes:
- Delegate and venue fees
- Catering fees
- High-quality staging and production
- Professional photo opportunities
- Videographer and photographer services
- Artists, hosts, and entertainment
- Event security, service, and staffing
As the ticket cost is already allocated to cover these services and event production, we are unable to offer refunds. The awards process is independent of event attendance, ensuring all participants have an equal opportunity to achieve recognition.
